7. Newsletter

Newsletter data

If you would like to receive the newsletter offered on the website, we require an e-mail address from you as well as information that allows us to verify that you are the owner of the e-mail address provided and that you agree to receive the newsletter. Further data is not collected or only on a voluntary basis. For the handling of the newsletter, we use newsletter service providers, which are described below.

Brevo

This website uses Brevo for the sending of newsletters. The provider is the Sendinblue GmbH, Köpenicker Straße 126, 10179 Berlin, Germany.

Brevo services can, among other things, be used to organize and analyze the sending of newsletters. The data you enter for the purpose of subscribing to the newsletter are archived on servers of Sendinblue GmbH in Germany.

Data analysis by Brevo

Brevo enables us to analyze our newsletter campaigns. For instance, it allows us to see whether a newsletter message has been opened and, if so, which links may have been clicked. This enables us to determine, which links drew an extraordinary number of clicks.

Moreover, we are also able to see whether once the e-mail was opened or a link was clicked, any previously defined actions were taken (conversion rate). This allows us to determine whether you have made a purchase after clicking on the newsletter.

Brevo also enables us to divide the subscribers to our newsletter into various categories (i.e., to “cluster” recipients). For instance, newsletter recipients can be categorized based on age, gender, or place of residence. This enables us to tailor our newsletter more effectively to the needs of the respective target groups.

If you do not want to permit an analysis by Brevo, you must unsubscribe from the newsletter. We provide a link for you to do this in every newsletter message. Moreover, you can also unsubscribe from the newsletter right on the website.

Legal basis

Affiliate Programs on this website

We participate in affiliate partner programs. In conjunction with affiliate partner programs, ads of businesses are placed on websites or other media of other enterprises within the affiliate partner network. If you click on one of these affiliate ads, you will be transferred to the promoted offer. If you should subsequently engage in a certain transaction (conversion), the affiliate and, if applicable, the owner of the medium on which the advertisement is placed will receive a respective commission in exchange for the service. To be able to compute the commission amount, the affiliate network operator must be in a position to track the ad that has resulted in you seeing the offer and in you completing the predefined transaction. To make this possible, cookies or comparable recognition technologies are deployed (e.g., device fingerprinting).

Processing of Customer and Contract Data

We collect, process, and use personal customer and contract data for the establishment, content arrangement and modification of our contractual relationships. Data with personal references to the use of this website (usage data) will be collected, processed, and used only if this is necessary to enable the user to use our services or required for billing purposes. The legal basis for these processes is Art. 6(1)(b) GDPR.

The collected customer data shall be deleted upon completion of the order or termination of the business relationship and upon expiration of any existing statutory archiving periods. This shall be without prejudice to any statutory archiving periods.

11. Online-based Audio and Video Conferences (Conference tools)

Data processing

We use online conference tools, among other things, for communication with our customers. The tools we use are listed in detail below. If you communicate with us by video or audio conference using the Internet, your personal data will be collected and processed by the provider of the respective conference tool and by us. The conferencing tools collect all information that you provide/access to use the tools (email address and/or your phone number). Furthermore, the conference tools process the duration of the conference, start and end (time) of participation in the conference, number of participants and other “context information” related to the communication process (metadata).

Furthermore, the provider of the tool processes all the technical data required for the processing of the online communication. This includes, in particular, IP addresses, MAC addresses, device IDs, device type, operating system type and version, client version, camera type, microphone or loudspeaker and the type of connection.

Should content be exchanged, uploaded, or otherwise made available within the tool, it is also stored on the servers of the tool provider. Such content includes, but is not limited to, cloud recordings, chat/ instant messages, voicemail uploaded photos and videos, files, whiteboards, and other information shared while using the service.

Please note that we do not have complete influence on the data processing procedures of the tools used. Our possibilities are largely determined by the corporate policy of the respective provider. Further information on data processing by the conference tools can be found in the data protection declarations of the tools used, and which we have listed below this text.

Purpose and legal bases

The conference tools are used to communicate with prospective or existing contractual partners or to offer certain services to our customers (Art. 6(1)(b) GDPR). Furthermore, the use of the tools serves to generally simplify and accelerate communication with us or our company (legitimate interest in the meaning of Art. 6(1)(f) GDPR). Insofar as consent has been requested, the tools in question will be used on the basis of this consent; the consent may be revoked at any time with effect from that date.

Duration of storage

Data collected directly by us via the video and conference tools will be deleted from our systems immediately after you request us to delete it, revoke your consent to storage, or the reason for storing the data no longer applies. Stored cookies remain on your end device until you delete them. Mandatory legal retention periods remain unaffected.

We have no influence on the duration of storage of your data that is stored by the operators of the conference tools for their own purposes. For details, please directly contact the operators of the conference tools.

Google Drive

We have integrated Google Drive on this website. The provider is Google Ireland Limited (“Google”), Gordon House, Barrow Street, Dublin 4, Ireland.

Google Drive allows us to include an upload area on our website where you can upload content. When you upload content, it is stored on Google Drive’s servers. When you visit our website, a connection to Google Drive is additionally established so that Google Drive can determine that you have visited our website.

The use of Google Drive is based on Art. 6(1)(f) GDPR. The website operator has a legitimate interest in having a reliable upload area on its website. If a corresponding consent has been obtained, the processing is carried out exclusively on the basis of Art. 6(1)(a) GDPR; the consent can be revoked at any time.

13. Lead capture, CRM and brand pages

Lead capture via WhatsApp/OneBots and mobile PWA

If Sebastian Rohloff receives business cards or other contact details from you at a first meeting, he may transfer them in structured form into our CRM (Twenty) — either via the OneBots WhatsApp bridge or via a dedicated web app. Legal basis: Art. 6(1)(f) GDPR (legitimate interest in structured contact management in business dealings).

Third-party services involved:

OneBots GmbH (WhatsApp bridge) — capture layer for photo, voice and text from WhatsApp. No separate data processing agreement with OneBots is currently in place (a risk accepted by the sole operator). Data is transferred for the duration of the capture flow between the operator and our MCP server and is not persisted on the OneBots platform beyond the usual WhatsApp conversation history.
Mistral AI SAS, 7 Cité Paradis, 75010 Paris, France — AI backend for text recognition from images and for the dialogue. EU hosting. Processing under Art. 28 GDPR is a standard part of the Mistral Data Processing Agreement. No further processing beyond the assignment takes place.

Original photos and screenshots are stored as an attachment to your contact record in the CRM. You may request their deletion under Art. 17 GDPR at any time — the contact record itself is retained, only the image attachment is removed. Retention: for the duration of the business relationship, at most as required by German commercial and tax law (typically six years after the last contact).

Brand pages (brand subdomains)

Under STRADANO we operate individual brand landing pages on subdomains of stradano.com (e.g. onebuddy.stradano.com). This privacy policy applies to those pages as well; the controller and the hosting (Cloudflare) are the same as described above.

On the brand pages no non-essential cookies and no trackers are set; the audience measurement described above does not run there. They serve to present the respective brand; signing up for or using the advertised offer only happens after you actively follow an external link or button to a third party (e.g. app.onebots.ai). From that point on, only that provider's privacy and cookie terms apply; we have no influence over their content.

Where a brand page contains affiliate or referral links, any attribution (e.g. via a referral parameter in the target URL) happens at the third party and only after your click — no personal data is stored on our pages for that purpose.
